Office Manager
Location: Chesterfield
An exciting opportunity has come available for an Office Manager to join the growing team at Brightwell. In this key role, you will be responsible for ensuring the smooth running of the Chesterfield office whilst delivering high quality reception duties and administrative support to senior leaders. The role is highly visible, people focused and central to creating a professional, welcoming and efficient working environment, with training provided.
What you’ll do:
Provide a warm, professional welcome to all staff, clients and visitors, acting as the first point of contact both in person and virtually.
Manage shared inboxes, responding promptly and professionally to queries.
Oversee the visitor process, ensuring compliance with internal procedures.
Support new starters and contractors with onboarding tasks such as issuing security passes.
Maintain high standards across kitchens, pantries, vending areas and stationery hubs, including stock ordering and replenishment.
Manage meeting room bookings, including coordinating catering and ensuring rooms remain clean and presentable throughout the day.
Support the monthly newsletter in collaboration with the Communications Manager.
Manage locker allocation and general storage organisation.
Process redirected mail, including scanning to the Indexing Team and returning original documents to members.
Provide refreshments to waiting visitors and ensure they are supported until collected by their host.
Handle challenges or complaints constructively, escalating to the Facilities Manager where appropriate.
Administrative Assistant Support
Provide comprehensive administrative support to the two Heads of Member Services.
Manage diaries, ensuring meetings are structured to support deliverables to the Brightwell Executive and Clients and the BT Pension Scheme Trustees. Proactively manage diary conflicts based on strategic priorities, working with other Personal/Executive Assistants.
Prepare agendas, slides and coordinate technology for monthly All Staff meetings.
Support planning and delivery of internal events, including staff celebrations and corporate gatherings.
Arrange lunches and manage related meeting logistics.
Book travel and accommodation.
Submit expenses.
Complete ad hoc administrative tasks as required.
This role would suit someone with:
The ability to build strong relationships at senior level and maintain confidentiality.
Strong organisational and communication skills.
Experience in a similar office management within a small to medium sized organisation.
Ability to work independently, prioritise effectively and manage multiple tasks.
Strong knowledge of Microsoft Office, particularly Excel, Word, PowerPoint and Outlook.
A warm, positive disposition and a service focused mindset.
Desirable:
Front of house experience either from an office or hospitality background.
