Governance Administration Assistant
To provide administrative support to the Governance function. This role requires strong discipline, and a proactive approach to workload.
Main tasks & responsibilities:
· Support all NEDs and Trustees with diary management, travel, accommodation, expenses etc
· Coordinate and set up Brightwell & Scheme board and committee meetings including inviting and maintaining attendance, booking meeting rooms & refreshments
· Arrange Quarterly Trustee and Brightwell Board dinners, including venue search, booking and liaison with Trustee Chair.
· Arrange annual Trustee offsite.
· Arrange annual Brightwell strategy offsite.
· Provide support to the Assistant Governance Manager with arranging Procentia meetings including meeting logistics etc.
· Co-ordinate inductions for new starters (Trustees/NEDs) liaising internally with relevant teams (HR, IT etc.)
· Co-ordination of Brightwell Board and BTPS committee meetings including diary management, room bookings, refreshments, and travel/accommodation where appropriate- I think this is already covered above.
· Assist with paper uploads to Board portal for Brightwell Board & Committee meetings, BTPS Board and Committee meetings and Procentia Board meetings, Brightwell Exec meetings.
· Coordinate planning for future meetings dates for Brightwell, BTPS and Procentia meetings.
· Assist in the execution of power of attorney (POA) documentation and requested certified documents (structure charts etc) as required.
· Assist in call for papers for board and committee meetings in a timely manner, working closely with the Head of Governance and Assistant Governance manager.
· Assist with ad hoc governance projects as required.
· Any other duties as required.
